The same information is entered twice

If your team copies orders from chat into a spreadsheet, then copies them again for delivery or invoicing, errors can build up. A shared workflow lets the team use one record from the initial request through to completion.

You cannot see the current status

A practical dashboard should show the work that needs attention: pending orders, stock changes, upcoming bookings, or outstanding payments. Decide what your team actually needs to know before adding more charts.

Access needs to be controlled

An owner may need all reports, while a staff member only needs assigned tasks. Role-based access helps separate responsibilities. Define who can view, create, edit, and approve records during discovery.

Start with one workflow

Choose the most repetitive or error-prone process first. Agree on required fields, statuses, reports, and a clear handover. A smaller system that your staff understand is often more valuable than a large collection of features nobody uses.
